Description

The Administrative Assistant performs administrative clerical work related to nursing program administration, as well as student clinical/experiential learning support opportunities in a fast-paced, collaborative and demanding environment. . The individual must be able to perform routine and non-routine tasks with minimum direction and supervision, and must maintain confidentiality of student and departmental information. The Admin Assistant must be able to work respectfully and successfully with a variety of people and all University constituent groups (faculty, staff, students, and community partners). Attention to detail and the ability to work under deadlines is important. The Admin Assistant works closely with the Dean of College of Health and Pharmacy, Chief Nurse Administrator, and the Clinical Coordinators in Pharmacy and Nursing to provide administrative support for student clinical and experiential placements, including the tracking of site specific requirements for clinical, processing clinical contracts and supports the team in daily administrative and reporting functions.

Examples of Duties

• Provide administrative support to the Chief Nurse Administrator/Undergraduate Director in daily operations of the School of Nursing
• Assist Clinical Coordinators with routine administrative function of clinical placement processes including but not limited to:
a. Tracking of site specific student requirements through selected college database system including both student and preceptor follow up communications
b. Provide clerical support including creation and support of email notifications to students, adjunct clinical preceptors/faculty, and/or site educators
c. Assist with adjunct preceptor/faculty hiring process including tracking of applicants, submission of administrative HR documents and spreadsheets, and orientation processes.
• Develop and encourage a collaborative atmosphere with a professional and positive attitude.
• Coordinate efforts with other Schools and the College of Health and Pharmacy administrative assistants to increase the efficacy of college-wide processes.
• Support and participate in admissions/marketing efforts for the Schools or College of Health and Pharmacy including providing tours and information to potential student candidates and families in accordance with COHP guidelines.
• Assist in coordination and implementation of special departmental events as assigned
• Assist in the creation and compiling of departmental policies and procedures.

Other Office Tasks:

  • Perform routine office tasks as needed.
  • Type/keyboard, copy, scan, fax, and file.
  • Maintain electronic filing system for student clinical required paperwork.
  • Maintain a clean and orderly work environment.
  • Provide telephone and office coverage.

The ideal candidate should have:

  • proficiency in Google and/or MS Office Professional and database management, including experiential/clinical learning management systems,
    • excellent communication skills and effective organizational and collaboration skills exercised with confidentiality.

EDUCATION and/or EXPERIENCE

  • Bachelor's degree preferred, Associate Degree required with documentation of significant related experience.
  • Minimum of three years of office administration preferred in an academic setting
  • Experience with instructional technology and web-design desirable.
  • Special Skills:
    • Outstanding interpersonal, organizational, communication, and customer service skills necessary.
    • Ability to work well with others with minimal supervision.
  • Essential: Ability to multi-task and work as an integral member of a busy administrative team.
