Receptionist and Office Assistant

The Receptionist is a full-time position responsible for the day-to-day operations of the firm. This position reports to the Office Administrator and is onsite five days a week (Monday – Friday) from 8:30 – 5:00 p.m.

Responsibilities:

The Receptionist answers the telephone in a pleasant and timely manner, while maintaining a professional front desk environment by greeting clients, visitors and vendors.

Facilitate all office telephone calls:

· Direct all incoming calls promptly and accurately to the appropriate attorney and staff member. Conduct all telephone communications in an efficient, professional, confidential and courteous manner

· Greet all clients, visitors and vendors to the office in a pleasant and professional manner, obtaining the relevant information necessary to contact the designated recipient. Provide beverages, take coats, order lunches

· Arrange and coordinate ZOOM meetings and conference calls

Provide various services for clients and visitors:

· Reserve conference rooms for meetings and assist with technology requests, when needed

· Maintain appearance of reception area and conference room

Facility/Vendor maintenance support:

· Coordinate with property management for necessary repairs throughout the office

· Coordinate with vendors for necessary repairs throughout the office including photocopiers and telephone system

Supplies and Miscellaneous:

· Daily responsibilities include:

o straightening kitchen and restocking supplies

o straighten conference rooms

o straighten and restock copy room supplies, photocopiers and printers

o Order kitchen and general office supplies

Requirements

Qualifications:

· Experience dealing with the public in an office setting helpful

· Experience with computer-based phone, voicemail and auto attendant systems

· Computer proficiency that includes MS Office and email

· Ability to interact with visitors and callers
